How do I setup UltraKey to work with my desktop security program?

Desktop security programs are programs that "lock" or hide the hard drive and sometimes the operating system files so that the user cannot change them. There are many types of desktop security programs, but they all do a similar job.

The user must have full read and write access to the management directory and all files inside it. If they do not, there record will not be saved. The manager must have read and write access to the configuration files inside the management directory.

If you have your management directory on a network then simply make sure you install and setup UltraKey with your desktop security program disabled. Users and managers will still need to have read and write access to the management directory on the network. This is setup through your network management system.

If you are using the management directory on the hard drive, you must set your desktop security program to allow the management directory to be written to or to allow the files inside your management directory to be written to. Consult the manual for your desktop security program to find out how to do this.

Note: Macintosh Manager is different from other security programs.Please consult the Mac Manager document in this FAQ for tips on setting up UltraKey in this environment.

Question:

How do I setup UltraKey to work with Macintosh Multiple User Interface?

Answer:

To work in a standalone environment with Macintosh Multiple User Interface the management directory must be placed in the Shared Documents folder. This can only be done in the School Edition of UltraKey.

1. Login as the administrator or owner of the machine.
2. In the Multiple Users control panel, give users access to the Shared Documents folder.
3. Start UltraKey and click Management. Click General Management, you may be asked to enter a name and password for the general manager.
4. In General Management, select Create Management Directory from the management pull-down menu.
5. A message appears to warn that you are about to dismiss the current management directory. Click Yes.
6. A standard Macintosh navigation window appears. Navigate to the Shared Documents folder inside the Users folder. Select the Shared Documents folder and click Choose.
7. UltraKey will then confirm the new directory. Click Finish.

Your new management directory is now set.

Why does UltraKey look smaller or slightly different on different computers?

UltraKey does not take over or reset your system in anyway when you start it. When UltraKey starts on Windows systems, it senses certain Windows settings and adjusts to them. On Windows, UltraKey can run in any of the three screen resolutions 640x480, 800x600 or 1024x768. UltraKey may look slightly different in each of these three screen resolutions. If UltraKey looks different on different computers in your lab or classroom, check the screen resolution settings in window’s control panels. The optimum resolution settings for UltraKey are 800x600, but 640x480 may be preferred for users with visual impairment. UltraKey must be run with at least 16 bit color. 640x480 is not available on Macintosh computers.

Question:

Why can't I see all of the UltraKey screen on my Mac?

UltraKey 4.0 for Macintosh works with a screen resolution of at least 800 x 600. If you cannot see all of the UltraKey screen, it may mean that your screen resolution is set too low.

Question:

I can use UltraKey with no problem, but other users on the computer get an error message. What is the problem?

All UltraKey users must be able to save to the management directory. UltraKey Home Edition has its management directory in the program directory. Home Editions do not have the ability to move the management directory. On systems with multiple users, some users may be restricted from saving in the program directory. This will result in an error message when these users try to create or open user records in UltraKey 4.0.

Future versions of UltraKey Home Edition will include a utility to move the management directory to a shared documents folder. In the meantime the solution is to make the management directory a shared folder.

This document provides the latest tips to ensure the best operation of UltraKey 4.0 under Mac Manager. The tips presume Mac Manager itself is correctly configured. How do I set up UltraKey to work with Mac Manager?

Follow these steps:

1. Create a new sharepoint on your server giving it any name you wish. This sharepoint must be new and independent from the Mac Manager sharepoint. It cannot be inside the Mac Manager sharepoint. [If you have previously created a management directory and were not aware of there instructions, you cannot just change the mangement directory into a sharepoint. See additional instructions below]
2. Make sure all users of UltraKey have full read and write access to the sharepoint. AFP privileges must be checked.
3. On a Macintosh workstation, log in as the administrator or as a user that has full access on both the network and the hard drive.
4. Install UltraKey into the Applications folder.
5. Log in to the Macintosh workstation as a user that has full system access and has the new sharepoint mounted. The user who sets up UltraKey for the first time must have full access to the hard drive and the network. The sharepoint must be mounted on the desktop.
6. Start UltraKey. Activate using the serial and activation numbers provided with your purchase.
7. When the license screen is displayed, click on the Management button to go into management. Click on the General Management button to go into General Management. You will be asked to input a manager name and password.
8. In General Management, select Create Management Directory from the Management menu on the menu bar. The Create Management Directory function allows you to navigate to the desktop. Highlight the new sharepoint and click Choose. Do not navigate to the sharepoint through the file server.
9. If you have already created classes or student records, the contents of the management directory will be copied to the new location if you request it when the option is presented. When the process is finished, the current workstation is set up.
10. On all other Macintosh workstations, repeat steps 3-6, then use Choose Management Directory on the Management pull down menu in General Management to select the new management directory inside the new sharepoint.
11. In Mac Manager, setup UltraKey to be an approved application for the users who are intended to use it.

Correcting an existing situation:

1. These instructions assume that you have created a mangement directory without knowing that a separate sharepoint was required. Begin by creating a new sharepoint on your server giving it any name you wish. This sharepoint must be new and independent from the Mac Manager sharepoint. It cannot be inside the Mac Manager sharepoint.
2. Make a copy of the existing management directory [UKEYMGMT] inside the new sharepoint.
3. In General Management, select Choose Management Directory from the Management menu on the menu bar. The Choose Management Directory function allows you to navigate to the desktop. Do not navigate to the sharepoint through the file server. Open the new sharepoint and highlight the directory UKEYMGMT. Click Choose.
4. When the option is offered do not merge records.
5. Repeat steps 3-4 for all workstations.

How do I set up UltraKey to work with Mac OS X on a standalone computer?

If you are using multiple users on Mac OS X the users that do not have system access will not be able to save in the local management directory unless you give them permission.

Follow these steps:

1. In the Finder open the Applications folder, then open the UltraKey 4.0 folder.
2. Select the folder called UKEYMGMT. Choose Get Info from the File menu or strike Command-I.
3. On the Get Info dialog, unfold the panel "Ownership and Permissions".
4. Set each of the menus beside Me, Group and Others to "Read and Write".
5. Click the "Apply to enclosed folders" button.
6. Close the Get Info dialog.

Question:

How do I share the management directory on a Windows 2000 server when some or all of the workstations are Macintosh?

1. Install UltraKey on each workstation.
2. On the server, create a folder, it can be called anything you like, and give UltraKey users Full Control permissions to the folder. You may want to test the permissions by logging on as a regular user and saving a text document in the folder.
3. Make this folder a Mac-Accessible Volume. To do this open Computer Management. Open Shared Folders in the Tree list. Right-click on Shares and select New File Share. Browse for the folder you just created. Select the folder and click OK. Enter a share name, check Apple Macintosh under "Accessible from the following clients". Enter a Macintosh share name.Allow all users to have full control. Click Finish.
4. Go to a workstation and login as administrator or a user with unrestricted access to the hard drive.
5. Mount the new share. On Mac OS X, type in "afp://" before the IP address of the server in the Connect to server dialog. Do not use SMB. On Mac OS 8 and 9 the share will appear in the Chooser.
6. Start UltraKey (activate if necessary). Click the Management button to go into management. Then click the General Management button to go into General Management. You will be asked to enter a manager name and password.
7. On the Management menu (top of screen), select Create Management Directory. A message appears asking if you really want to do this. Click Yes. Another message appears with additional instructions, click OK. A Choose window appears.
8. Click Desktop to view the contents of the desktop in the Choose window. Select the Share. Click Choose. The path you have selected is displayed. If you have already created student records and classes on the workstation, check the box next to Copy classes and records to new directory. Click OK. The new management directory is created in the selected location. The management directory is called UKEYMGMT.
9. On each other workstation, repeat step 4 - 6.
10. On the Management menu, select Choose Management Directory. A message appears asking if you really want to do this. Click Yes. Another message appears with additional instructions, click OK. Click Desktop to view the contents of the desktop in the Choose window. Open the Share. Select the UKEYMGMT folder inside the Share. Click Choose. The path you have selected is displayed. If you have already created student records and classes on the workstation, check the box next to Merge classes and records to new directory. Click OK. The management directory is selected.

You can shortcut this process by installing UltraKey and setting up the management directory on one workstation, then copying the UltraKey 4.0 folder through the network to other workstations.

Sometimes when you set permissions on a folder on a Windows 2000 server the permissions may not appear to work. This can be for many reasons. Other permissions set for other user groups may supercede the permissions you are setting. To avoid this happening it is best not to use the built in group "Everyone". Instead, create your own groups of network users. This gives you much more flexibility in setting folder permissions for users. It also helps avoid conflicts.

If you are experiencing trouble setting permissions on a pre-existing management directory follow these instructions:

Do not use the Everyone group. Put users into groups of your own creation that correspond to the permissions they are likely to have on the server. For instance, you could put your users in a Student group or a Teacher group.

Create a new folder on the server. Give all UltraKey users Full Control permissions. Test the permissions by logging in as a user and saving a text document in the new folder(call it whatever you like). If you can save, change, and save again a text document then the permissions to the folder are good for UltraKey's management directory. This folder will be the new parent folder of the management directory.

Start UltraKey and go into General Management. Use Create Management Directory to create a new management directory in the parent folder. If you have a network install, this is all you must do. If UltraKey is installed on workstations, use Choose Management Directory on the other workstation copies of UltraKey to select the new management directory. 

The permissions of the parent folder will be inherited by the management directory. This should fix permissions issues. If you are using UltraKey 4.0.9 or later, you can remove Delete permissions for non-managers once you have it working.

How do I share the management directory on a Windows 2000 server?

1. Install UltraKey on each workstation.
2. On the server, create a folder, it can be called anything you like, and give UltraKey users Full Control permissions to the folder. You may want to test the permissions by logging on as a regular user and saving a text document in the folder.
3. Go to a workstation and login as administrator or a user with unrestricted access to the hard drive.

6. Open My Network Places (Network Neighborhood on Win 9x) in the browse window by clicking on the plus sign. The contents of My Network Places is listed. Open Entire Network or Computers Near Me to find the server. Open folders on the server in the browse window until you find the folder you made in step 2. Select the folder. Click OK. The path you have selected is displayed. If you have already created student records and classes on the workstation, check the box next to Copy classes and records to new directory. Click Finish. The new management directory is created in the selected location. The management directory is called UKEYMGMT.
7. On each other workstation, repeat step 3 and 4.
8. On the Management menu, select Choose Management Directory. A message appears asking if you really want to do this. Click Yes. Another message appears with additional instructions, click OK. A browse window appears showing all drives on the workstation and My Network Places.
9. Open My Network Places (Network Neighborhood on Win 9x) in the browse window by clicking on the plus sign. The contents of My Network Places is listed. Open Entire Network or Computers Near Me to find the server. Open folders on the server in the browse window until you find the folder you made in step 2. Open the folder. You will see UKEYMGMT folder inside. Select the UKEYMGMT folder. Click OK. The path you have selected is displayed. If you have already created student records and classes on the workstation, check the box next to merge classes and records to new directory. Click Finish. The workstation is set.

If an error occurs or the setting does not stay set, check that you are logged into the computer with a Standard User or Administrator login and try again. If an error occurs at startup and the management directory reverts to the hard drive. Check network accessibility and permissions.

1. Install on the server

Install UltraKey on the Windows 2000 server as if you were installing on a workstation. Place the disk in the CD-ROM drive and follow the instructions given by the installer.

2. Setup Network permissions

UltraKey users only need "read and execute" permissions for the UltraKey program directory, but they need "Full Control" for the management directory. The management directory's default location is in the program directory. The management directory is called UKEYMGMT.

For UltraKey 4.0.9 and later, users who are not managers do not need Delete permission to the management directory. It is best to setup the management directory with Full Control first, then when that is working, remove delete privileges.

3. Setup workstations

When UltraKey has been installed on the server you can setup workstations to use the network installation.

On each workstation, if you would like the network setup to install a speech engine and QuickTime, place the CD in the CD-ROM drive. Cancel the auto started installation. Do not install UltraKey on the workstation if it is already installed on a server.

Use My Network Places or Network Neighborhood to navigate to the server. Find the UltraKey program directory on the server. It is usually called Ukey4. Inside the program directory you will find Netsetup.exe. Double-click on Netsetup.exe to run it.

Netsetup installs any necessary dlls. It also installs QuickTime and the speech engine from the CD if they are not found on the workstation and the CD is in the drive. Netsetup also places a shortcut to UltraKey on the desktop.

When Netsetup is finished the workstation is prepared to start the copy of UltraKey on the server. Make sure users have the appropriate permissions for the management directory. Activate UltraKey by starting the program and entering your serial and access code.

If you already have QuickTime and a speech engine installed on your workstations, you do have to have the CD in the CD-ROM drive while running Netsetup.

QuickTime can be installed separately from the UltraKey CD. Place the CD in the CD-ROM drive. Cancel the auto started installation. Explore the CD (right-click on the CD and select Explore). The QuickTime installer is located in the QuickTime folder. The QuickTime player can also be downloaded from www.apple.com.

There are two speech engines available on the UltraKey CD. If you have Windows 95 or 98 install Microsoft Speech Engine 4. The installers for this speech engine are located in the TTS folder. First run SPCHAPI.exe, then MSTTSL.exe.

If you have Window XP. 2000, Me, or NT install Microsoft Speech Engine 5. The installers for this speech engine are located in the TTS5 folder. Run SAPI5SpeechInstaller.msi first, then run SAPI5VoicesInstaller.msi.

Speech is an optional feature in UltraKey. A speech engine is not required to use UltraKey.

Newer Windows XP and 2000 versions are equipped with a built-in SAPI 5 speech engine. If you already have a speech engine installed, UltraKey will use it. Run SAPI5VoicesInstaller.msi for additional voices.

Note: some Windows XP and 2000 systems have incomplete speech installations. This may cause UltraKey to crash on startup. To fix this problem reinstall the SAPI5SpeechInstaller.msi from the UltraKey CD. 

Question:

Can I share the same management directory on Mac and Windows computers?

Yes you can if you have one of the following network situations:

• Windows 2000 or 2003 server
• Novell server with AFP services installed
• Linux server with AFP services installed
• Mac OS X server

Window 2000 or 2003 server

On a Windows server you must make the parent folder of the management directory a Macintosh-accessible volume. To do this Open Computer Management, double-click Shared Folders to open it. Right-click Shares and select New File Share. Do not make the management directory itself (UKEYMGMT) the share. You can setup the Macintosh-accessible volume before or after you put the management directory inside it if you use a Windows client machine to create the management directory.

Novell server with AFP services

The management directory can be created either from a Macintosh or Windows workstation. Be sure to update to UltraKey 4.0.9c or later as previous versions may have case sensitivity issues that cause an error to occur when accessing from a Mac.

Linux server with AFP services

The management directory can be created either from a Macintosh or Windows workstation. Be sure to update to UltraKey 4.0.9c or later as previous versions may have case sensitivity issues that cause an error to occur when accessing from a Mac.

Mac OS X server

As of yet we have not encountered any customers who use UltraKey in this configuration. Specific instructions and issues are unknown. It should be possible to setup a cross platform management directory on an OS X server with the Mac clients following the normal Mac OS X setup procedures and the Windows clients following the normal Windows setup procedures. Contact Technical Support at 1-800-465-6428 if you have this cross platform configuration and would like to discuss any setup issues.

Setting up clients to use the cross platform management directory

Follow the normal instructions for choosing a management directory on a network:

Windows These instructions are good for all network servers.

Macintosh OS X Start from step 3 and mount the server share.

Why do I get an error when I use a Mac to create a new management directory or a new class on my Novell server?

This happens while using the Macintosh format of UltraKey using the AFP module to connect to the Novell server.

This problem is corrected in version 4.0.9d and later.

How do I install and setup UltraKey to run from my Novell server?

Note: network installs are not recommended for the Macintosh format.

To install on the server

On a workstation, login as the administrator.

Put the UltraKey CD-ROM in the CD-ROM drive on the workstation. The installer will auto start.

Follow the instructions on the installer. When the installation location screen is presented type in the path to where you would like to install the software, starting with the drive letter. For example, if the network drive you are installing the software on is S: and the software will go in a directory called "Courses", type in S:\Courses\Ukey4 -- Making sure that the directory Ukey4 is at the end of the path. Click Next. The software will install to the network drive.

Network privileges

In order to save their work the users of UltraKey will require certain network privileges to the management directory. The default management directory is located in the program directory (Ukey4). It is called UKEYMGMT. Give users all privileges to this directory except Supervisor. Note: for 4.0.9 and later you can remove Erase permissions from users who are not managers.

Users only require Read privileges to the program itself.

The management directory can be moved if there is a different location on your server where you prefer to save data. See Create Management directory in the Management Help in UltraKey or the Technical Help Guide for instructions.

To setup each workstation to run the software

Each Windows workstation will require QuickTime and a speech engine (optional) to be installed on it. Installers for these programs can be found on the UltraKey CD. Place the CD in the workstations CD-ROM drive. The installer will auto start. Cancel and exit the installer.

Open the mapped drive that UltraKey is installed on or navigate to the UKey4 directory on the server through My Network Places. In the Ukey4 directory you will find a program called Netsetup.exe. Double-click on this program to run it.

Netsetup will check your workstation and install any necessary dlls. If the CD-ROM is in the workstation's drive, Netsetup will install speech and QuickTime (if not already installed). A shortcut to UltraKey is placed on the desktop. When Netsetup is done, the workstation is prepared to run UltraKey.

You can also install QuickTime and the speech engine and voices separately. Place the CD in the workstations CD-ROM drive. The installer will auto start. Cancel and exit the installer. Open My Computer, right-click on the UltraKey CD and select Explore from the menu. The Explorer window appears. The QuickTime installer is located in the QuickTime folder. You can also download a QuickTime player installer from www.apple.com.

The speech engine installers can also be found on the CD. There are two Microsoft Speech Engine versions available. If you have Windows 95 or 98, open the TTS folder and run first SPCHAPI.exe, then MSTTSL.exe. This will install Microsoft Speech Engine 4. If you have Windows Me/XP/2000 or NT, open the TTS5 folder and run the SAPI5SpeechInstaller.msi first, then the SAPI5VoicesInstaller. This will install MicroSoft Speech Engine 5. Newer Windows XP and 2000 versions may already have the SAPI5 speech engine installed.

This problem arises after updating an OS 10.3 server to 10.4. The problem is characterized by errors when trying to save existing student records or when creating classes or new student records on an OS 9 workstation. An error message appears stating that the user has insufficient write privileges to the management directory. The message has an error number of -61.

This error has arisen due to a change in one of the Apple server configuration files between OS 10.3 server and OS 10.4 server. OS 10.4 server has the lock_manager setting in the file com.apple.AppleFileServer.plist set to True by default. Setting this entry to False (or No) fixes the problem.

The file com.apple.AppleFileServer.plist is found in the /Library/Preferences folder on the server.

This same issue has effected several software titles. While changing this setting has solved this issue, we are as of yet unaware of any ramifications of changing the setting back to the 10.3 default. All changes to server configurations are done at your own risk.

QuickTime is a media playing program created by Apple Computer. It is used by UltraKey as a necessary support program.

UltraKey may report that QuickTime does not appear to be installed or is not installed fully if QuickTime is installed with a minimum or custom installation or if the installation of QuickTime is damaged.

The solution to the problem is to reinstall QuickTime with a full installation. The UltraKey CD contains an installer for QuickTime 6, although this is not the most current QuickTime version, this version works well on all Windows versions that run UltraKey. Reinstall QuickTime using the CD installer or bydownloading an installer from www.apple.com.

 UltraKey works with all current versions of QuickTime.
